Flight delays and airport pickup waiting time: what happens to your driver

If your flight is delayed, a pre-booked airport pickup that tracks your flight number moves with it. With us, the driver waits in arrivals with a name board, and you get 60 minutes of free waiting from the moment your flight actually lands, or 15 minutes at hotels and homes. If passport control or bags run long, message us on WhatsApp.

Your flight is late, and somewhere over the Gulf you start wondering whether anyone will still be waiting when you walk out. On a pickup with flight tracking, they will, because the driver works to your real landing time. That’s how our airport transfers run at every UAE airport we cover. Below are the rules behind it, and the exact messages to send us so nobody is left guessing.

What happens to your pickup when your flight is delayed

Nothing, as long as you gave us your flight number. We track the flight, so when the airline posts a new arrival time the driver’s timing moves with it. You don’t need to message us from the departure gate to say you’re late.

Here’s how a typical delay plays out. You’re booked on a flight due into Dubai at 14:30. It leaves late and the tracker shows a 16:05 landing. The driver plans for 16:05, parks, and waits in the arrivals hall with your name on a board. Your 60 minutes of free waiting starts at 16:05 when the wheels touch down.

The one thing tracking can’t fix is a wrong flight number. Double-check it in your booking message, and make sure it’s the arriving flight, not your outbound one. If you’re connecting through another hub, we need the number of the last flight into the UAE.

The waiting time rules in one table

Pickup Free waiting When the clock starts
Airport arrival (DXB, DWC, AUH, SHJ, RKT, FJR) 60 minutes The actual landing time from flight tracking
Hotel, home or office 15 minutes The booked pickup time
Cruise terminal 15 minutes The booked pickup time

The 60 minutes covers taxiing, passport control, bags and customs. For most passengers on most days that’s enough. Where it gets tight is a long passport queue, a lost bag, or a flight that parks at a remote stand.

What counts as “landed”

Flight trackers show two different arrival moments. “Landed” is when the aircraft touches down on the runway. “Arrived at gate” is when it parks and the doors open, which can be several minutes later at a big airport, longer if you’re bussed from a remote stand.

We start the free hour from the landing time the tracker reports, because it’s a fixed, public time that you and we can both see. It isn’t the scheduled time on your ticket, and it isn’t the moment you walk into the arrivals hall.

What uses up that hour, roughly in order:

  1. Taxiing from the runway to the stand. At a large hub such as Dubai International this can take a while.
  2. Getting off. Rear seats in a full wide-body wait their turn, and a remote stand adds a bus ride.
  3. Passport control. The biggest variable by far, and the one you can’t control.
  4. Baggage reclaim. First bags out are often quick; last bags out can take a while longer.
  5. Customs, then the walk into arrivals.

So if you’re in row 60 of a full A380 that parks at a remote stand, message us as soon as you’re on the bus. It costs you nothing and keeps the driver informed.

When passport control or bags run long

This is where most waiting time goes, and it’s the part people worry about most. Keep us posted. A two-line WhatsApp message tells us what we need, and the driver stays where they are while we deal with it.

If you can see you’ll pass the 60 minutes, tell us before it happens, not after. We’ll explain the options straight away so there’s no surprise at the car. A lost-bag report at the baggage services desk is the classic case: it can take a while, and the driver has no way of knowing unless you say so.

Some travellers pay for help through the terminal. At DXB, paid fast-track services such as Marhaba are available, and at Sharjah, Hala Services from Sharjah Aviation Services help passengers who need assistance. They don’t replace your car, but they can shorten the wait before you reach it. For help with the trolley through the arrivals hall, ask about our airport meet and greet.

There’s also a practical detail at DXB. Dubai Airports’ FAQ says the airport has no pick-up areas at arrivals, and anyone collecting passengers has to use the car park. That’s why your driver meets you inside on foot and walks you to the car, and why you shouldn’t wander out to the kerb looking for it. Our Dubai airport arrivals guide covers the layout terminal by terminal.

Early arrivals

Tailwinds happen, and flights do land early. Because we watch the live estimate, the driver plans around it. If you’re out unusually fast, say a light flight at 2am with no queue, send a quick message. We’ll tell you how far away the driver is and where to wait. The worst move is to give up and take a taxi without telling us, because then your driver is in the hall holding a board for someone who’s already gone.

Missed connections and rebooked flights

Missed connections are the one case where tracking works against you. We follow the flight number you gave us. If you’re not on that flight, the driver waits for an empty seat.

Dubai Airports’ FAQ sends passengers to their airline for rebooking when a flight is delayed or cancelled. Once you have the new flight, send us three things: the new flight number, the new arrival time, and the arrival airport. Don’t skip the airport: a rebooking can land you at Dubai International instead of Al Maktoum, or at Zayed International in Abu Dhabi instead of Dubai. Those are different pickups with different drive times, and we need to know before the driver sets off.

Diversions work the same way. If bad weather or anything else sends your flight to another UAE airport, message us as soon as you know where you’ll land.

What to message your driver

Short, specific messages work best. Copy these and fill in the gaps.

When you land:

Hi, booking for [your name]. Flight [number] just landed. [Number] passengers, [number] bags.

If the passport queue is long:

Still at passport control, about [number] people ahead of me. Will message again at the belt.

At the baggage belt:

Through passport control, waiting at belt [number]. Should be out in about [number] minutes.

If something’s gone wrong:

One bag missing, filing a report at baggage services. Could be [number] minutes.

When you’re walking out:

Coming through customs now, wearing [colour] jacket.

Phones on roaming can be slow to reconnect after landing. Turn mobile data on before you reach passport control, or join the terminal Wi-Fi if roaming is off.

Rebooking or changing a pickup at night

Delays have a habit of pushing arrivals into the small hours. We answer bookings 24 hours a day on WhatsApp at +971 58 181 0789, so you can change a pickup from a departure gate at 2am or book a new one when you land somewhere you didn’t plan to be. Send the pickup, drop-off, date, time and flight number, and we reply with a fixed fare for the car. If you’d rather fill in a form, the booking page opens the same WhatsApp chat.

If your plans change completely, for example you’re stuck overnight at a connecting airport, tell us as soon as you know. A cancelled pickup at 11pm is far better than a driver arriving at 4am for a flight you’re not on.

The 15-minute rule for hotel pickups

Waiting time works differently when we collect you from a hotel, home or office for a flight out. The free wait is 15 minutes from the booked time, because there’s no flight to track and your check-in deadline is the real constraint. Be in the lobby with your bags when the driver arrives. The same 15 minutes applies to cruise terminal pickups.

Common mistakes we see

  • Giving the outbound flight number instead of the arriving one.
  • Sending the first leg’s number on a connecting journey, so we track a flight that lands in another country.
  • Booking a pickup “two hours after landing to be safe”. With flight tracking you don’t need the buffer, and it can leave you standing in the hall if you’re out quickly.
  • Switching the phone to flight mode and forgetting to switch it back after landing.
  • Leaving with a taxi driver who approaches you in the hall without telling us. If you want to compare the options properly, read our taxi vs private transfer guide before you fly.

Questions travellers ask

Do I need to tell you if my flight is delayed?

Not if you're still on the same flight. We track the flight number you gave us, so a two-hour delay simply moves the driver's timing. Do message us if the flight number changes, you're rebooked onto another airline, or your flight is diverted to a different airport.

When does the 60 minutes of free waiting start?

From the actual landing time shown by flight tracking, not the scheduled arrival on your ticket. If a flight due at 22:10 lands at 23:40, the free hour runs from 23:40. Taxiing, the walk to passport control and baggage reclaim all happen inside that hour.

What if I'm still in the passport queue when the hour is nearly up?

Send us a WhatsApp message saying where you are and roughly how many people are ahead of you. The driver stays put while we talk it through with you. We'd much rather hear from you at minute 45 than find out at minute 61.

My flight landed early. Will the driver be there?

We plan the driver around the live arrival estimate, not just the timetable, so a flight that lands half an hour early is usually covered. If you land very early on a quiet night and are out before you expect, message us and we'll tell you how far away the driver is.

What happens to my pickup if I miss a connecting flight?

Your airline handles the rebooking. Once you have the new flight number, send it to us with the new arrival time. If you don't, we're tracking a flight you're no longer on. We answer bookings 24 hours a day, so a message at 3am is fine.

Is the free waiting time the same for a hotel pickup?

No. Pickups from hotels, homes, offices and cruise terminals include 15 minutes of free waiting from the booked time. Be in the lobby with your bags when the driver arrives, especially for an airport run where the clock is already tight.

Can I change my pickup in the middle of the night?

Yes. Message us on WhatsApp at +971 58 181 0789 with your name, the old and new flight numbers and the new arrival time. Bookings are answered 24 hours a day, including the small hours.
